# Approvals and leave

> Approval rules on list stages, manager approval, the Approvals page, notifications and leave requests — working-day calculation (public holidays, half-day eves), annual leave balance, calendar.

Any list can have an **approval rule**: when a record is moved to a given stage (e.g. *Approved*) it does not move straight away — it goes to the approver. The leave, expense, purchase, discount and dealer application [templates](/en/guides/list-templates) come with a rule.

## Managers {#manager}

**Settings → Users and teams** → user → **Manager**. Pick each person's manager (loops are not allowed). Requests from someone without a manager go to the admins (everyone with the admin role).

## Approval rule {#rules}

**List settings → Approval rules** — one row per stage:

In the same settings, **Everyone sees only their own records**: people see their own records, managers their team's, approvers what is waiting for them, admins everything.

**Who can skip?** The approver and admins can change the stage directly — *approved* is written to the history. Requesters cannot approve their own requests.

## Request and decision {#flow}

1. The record is moved to the approval stage (table, board, record page, bulk action, or **Submit for approval** in the new-record dialog).
2. It moves to the waiting stage; the approver gets a **notification** (in-app, plus email depending on their preferences — *Approvals* in Notifications), and the **Today** page shows *Request awaiting your approval*.
3. The approver clicks **Approve** / **Reject** (with an optional note) on the **Approvals** page or in the banner on the record page. The requester can **Withdraw request**.
4. The requester is notified; the record page keeps an **Approval history** (who, when, note).

The **Approvals** page (sidebar, with the pending count): *Awaiting my approval* · *My requests* · *Decided by me* · *All* (admins).

## Leave requests {#leave}

The **Leave requests** template: fields *Employee · Leave type · Start · End · Half day · Working days · Covering · Note*; stages *Draft → Awaiting approval → Approved · Rejected · Cancelled*; approver is the employee's manager.

- The **Request leave** dialog calculates **working days** as you pick dates and shows the annual leave *left after this request*. *Save draft* or *Submit for approval*.
- **Working days** exclude weekends and Turkish public holidays (the field is read-only): 1 January, 23 April, 1 May, 19 May, 15 July, 30 August, 29 October; **28 October** and religious holiday **eves** are half days; Ramadan and Sacrifice feasts are defined for 2026–2027. A *half day* request counts as 0.5.
- The **balance panel** above the list: annual entitlement, used, awaiting approval, remaining and upcoming public holidays. Admins see **Team balances**.
- **Settings** (admins, in the balance panel): default annual entitlement (14 days) and per-person entitlement, **Saturday is a working day**, extra holidays (one per line: `2027-01-02`, or `2027-01-02 yarım` for a half day; `2027-05-01 -` cancels a public holiday).
- Only the **Annual leave** type is deducted from the entitlement; other types (excuse, sick, unpaid, maternity / paternity, marriage, bereavement) are counted separately.
- **Calendar**: approved and pending leave appears under the **Leave** category; people who cannot see the request only see *Name · On leave* (no type, note or link).
- When approved, the **covering** person is notified; colleagues on leave on the same dates are listed on the record page.

> Annual leave depends on seniority under Turkish Labour Law No. 4857, Art. 53 (1–5 years 14, 5–15 years 20, 15+ years 26 days; at least 20 days under 18 and over 50). Solk does not calculate this — enter it per person.
