# Quick Entry

> Log a conversation on one screen — a fixed core, blocks bound to the data model, templates and sector presets, suggestions from the note, natural-language dates, a live summary and undo.

**Quick Entry** logs a customer conversation — a visit, a call or a trial — on a single screen. Along with the conversation it creates or updates the company, contact, opportunity, quote, order, trial and [custom object](/guides/custom-objects) records; before you save, the summary on the right shows what will happen. **Quick Entry** in the sidebar, the `H` key on any page, or **+ New → Log a call** on phones.

## The form {#form}

The form has two parts: the **core**, identical in every template, and **blocks**, which vary by template.

Contacts then appear as chips (**+ Contact** adds a new one) and the open opportunity is selected automatically (**+ New opportunity…** opens a separate project). | **What was discussed?** | The conversation note. The microphone button dictates (where the browser supports it); suggestions appear under the note as you type. |
| **Next step · when · who** | The next step and its date. Dates can be written in plain language; if **Who** is another user, the step is assigned to them as a task. |

Once a company is selected, its last conversation, next step and **open actions** appear at the top. Ticked actions (e.g. *Send sample*) are closed by this entry: **This entry closes these actions**.

If a company with a similar name exists, the form warns you; pick it from the list or choose **Create a new company anyway**.

## Blocks {#blocks}

Each block writes to an object in the data model: **Opportunity** (stage, type, potential), **Product**, **Trial** (status, result, technical note, line), **Quote** (unit price, payment terms), **Order** (quantity, kind), **Competitor and barrier**, **Market share**, **Company details**, **Manager support**, **Fair** (creates a fair lead) and every [custom object](/guides/custom-objects#quick-entry) enabled for Quick Entry.

- An **open** block appears as a card in the form.
- A **chip** block is a button below the form; clicking it opens the block.
- An **off** block sits under **Other…**.

Only blocks for modules in your plan and your permissions appear (e.g. no Trial block without the *Demos* module). If the stage chosen in the Opportunity block doesn't meet the conditions for moving to the next stage (BANT, required steps), a warning shows under the block; the stage still changes by the same rules as on the opportunity page.

## Suggestions from the note {#suggestions}

Information in the note turns into suggestion chips; clicking a chip opens and fills the matching block:

Suggestions are rule-based: the note is not sent anywhere and it works on every plan. The rules understand Turkish.

## Natural-language dates {#dates}

The **When** field understands Turkish expressions such as *yarın* (tomorrow), *perşembe* (Thursday), *haftaya salı 14:00* (Tuesday next week, 14:00), *ay sonu* (end of month), *12 kasım*, *3 gün sonra* (in 3 days) and shows the resolved date below it. Quick buttons: **Tomorrow · Next week · 2 weeks**.

## Live summary and saving {#summary}

The **This entry will** panel on the right lists the outcome before you save: *conversation record*, *new opportunity*, *stage → Negotiation*, *quote 1.85 €/kg*, *task → Ayşe Demir*, *2 actions close*… **Linked records** shows the records the conversation will be linked to.

**Save conversation** (`Ctrl+Enter`, `⌘+Enter` on Mac) or **Save and new entry**. On phones the save bar stays fixed at the bottom of the screen.

## Undo {#undo}

After saving, an **Undo** button stays for 10 minutes in the notice at the top and in the **Your recent entries** list. Undo deletes the records created by the entry (conversation, opportunity, quote, order, task, custom object record…), restores changed company / contact / opportunity fields and reopens the actions it closed. Only the user who made the entry or an admin can undo.

## Conversation types {#types}

The **Conversation type** row has four options: **Face to face** · **Online** (Teams, Zoom, Meet) · **Phone** · **Trial**. **Enter the outcome** on an online calendar meeting opens Quick Entry with *Online*, an on-site meeting with *Face to face*.

Admins choose whether online meetings count as face to face: **Settings → Quick Entry → Conversation types → Count online meetings as face to face**. When on, the Viable stage's *at least one face-to-face visit* condition, the weekly face-to-face target and the F2F figures in reports include online meetings; when off (the default), online stays a separate type.

## Templates {#templates}

The tabs above the form are templates: *Field visit*, *Online meeting*, *Phone call*, *Fair*… Each template carries a conversation type, a default topic and a block layout. On opening, the template is chosen as follows: the template assigned to the user's **department** → the conversation type in the link (e.g. *Log a call* on mobile → phone) → the default template.

Admins change templates under **Settings → Quick Entry → My templates** with a live editor:

### Pick or add a template

Choose a template from the list on the left; type a name in the box below and click **Add** for a new one. At the top: name, icon, conversation type, topic and **Department** — users in that department open Quick Entry with this template; the **Default template** is what everyone else sees first.

### Drag the blocks

Blocks live in three areas: **Open in the form** (shown as an expanded card), **Waiting as a chip** (a button in the *Add* row) and **Off** (not in the form; reps can open it from *Other…*). Drag a card to another area or position; on touch screens the **Open · Chip · Off** buttons on the card do the same.

### Open the card settings

The settings button on the right of a card: block name, **Required** (can't save without it), for a chip **when it should open** (*if the company has an open opportunity*, *if an existing customer*, *if the type is online / trial*, *if the opportunity is at negotiation or later* …), visible fields and each field's **default value** (e.g. payment terms 60 days). Reorder from the keyboard with **Up / Down**.

### Check the preview and save

The **Preview** on the right redraws the form your reps will see on every change: core, open blocks with their fields (and defaults), chips, conditional chips and *Other…*. Clicking a chip in the preview shows the block opened; switch between desktop and phone width. **Save** publishes the template to reps.

## Sector presets {#presets}

**Settings → Quick Entry → Sector presets** shows ready-made template sets. Click a preset card (**Preview and edit**): its templates open in the same live editor with a preview — **nothing is saved before you install**.

In the preview you can drag blocks, change their settings and remove templates you don't want (×); **Start over** returns to the preset as shipped. Then:

- **Install all** — your edited set replaces the current templates.
- **Add this template to mine** — only the open template is added to your current ones (numbered if the name exists).

Installations that use status labels on opportunities (Follow-up, Pre-trial, Quote …) start with *Chemicals / manufacturing*, others with *General*.

The old single-page form stays at `/hizli-giris?klasik=1`. To link in from elsewhere: `?customer=<company name>` preselects the company, `?close=<action key>` the action to close, `?type=Call` the conversation type and `?co=<object key>:<record id>` a custom object record.
