Call recording
The notetaker joins Zoom, Google Meet and Teams meetings; in-person and phone calls are recorded in the browser. Transcript, speakers, summary, insights and action items are prepared automatically.
Call recording records sales conversations, transcribes them and summarizes them with AI. Each recording is linked to a company, opportunity and meeting, and shows up on the company timeline. The license module is Call Recording (per user; transcription minutes are limited per workspace per month).
Ways to record
| Way | When | How |
|---|---|---|
| Notetaker (bot) | Zoom, Google Meet, Microsoft Teams, Webex meetings | The bot joins as a participant and records audio (optionally video) |
| Record on this device | In-person and phone calls | Browser microphone; audio is uploaded in chunks, so if the page closes the part recorded so far is kept |
| Upload an audio file | PBX / phone recordings, files from another device | mp3, m4a, wav, webm, ogg, aac, flac (up to 500 MB) |
When the notetaker joins, it posts a recording notice in the meeting chat (can be turned off in Settings → Call recorder; we recommend keeping it on for privacy compliance). If the meeting has a waiting room, the host must admit it; if it isn't admitted within the configured time it leaves.
Automatic recording
Meetings arrive in the calendar from your email invitations (Email account). Choose your personal rule in Settings → Call recording:
- Off — only when you start a recording.
- Meetings with external participants — online meetings linked to a company or with participants outside your company.
- All my online meetings — every meeting with a link (internal meetings included).
The notetaker is scheduled to join one minute before the meeting. If the meeting is rescheduled or cancelled, the scheduled bot is cancelled automatically. To override the rule for one meeting, use Record or Don't record in the Call recording box on the meeting page; the same toggle is on the meeting row on the home page.
Starting manually
- 1
From a meeting
On the meeting page, Send the notetaker now (shown shortly before and during the meeting).
- 2
With a link
Calls → Start recording → Send notetaker to a meeting: paste the meeting link, optionally add a title and a company.
- 3
On this device
Calls → Start recording → Record on this device (or Calls → Record on a company / opportunity page). The big red button starts recording; you can pause, and Finish and save ends it.
The call page
- Player — speed (1×–2×), skip 10 seconds, chapter markers and a speaker timeline (who spoke when; click to jump).
- Summary — a short summary, the sections of the selected insight template, action items (each becomes a task linked to the company in one click) and chapters.
- Transcript — text with speakers and timestamps; search, click to jump, follow while playing.
- Speakers — talk time; name each speaker as a contact, a user or free text. Names guessed by AI from the transcript are marked as guesses.
- Ask — ask about the call ("was there a price objection?").
- Link to a record, switch insight template and regenerate, download the audio and the transcript (.txt), delete.
Insight templates
Summary sections come from a template. Built-in templates: General call, Discovery call (BANT), Technical call / trial, Account review. Admins add templates in Settings → Call recorder → Insight templates; each line is a section: Title: instruction for the AI. The default template is used for new recordings; a call can be regenerated with another template from its page.
Settings
Personal (Call recording): automatic recording rule, notification when a recording is ready.
Workspace (Call recorder, admins): notetaker display name, chat message on join, waiting room timeout, transcript language (Turkish, English, German, automatic), keep video, who can see recordings (everyone with Call Recording or meeting participants only — admins and the person who started the recording always can), how long audio / video files are kept (files are deleted, transcript and summary stay), default rule for new users.
Where does the data go?
Recording and transcription services are called through the Solk panel; no third-party key is stored in your installation.
- Notetaker: Recall.ai (EU region recommended) joins the meeting and keeps the recording temporarily; your installation downloads it to its own server.
- Transcription: Deepgram (nova-3, Turkish, speaker diarization). Browser recordings are served to Deepgram from a short-lived secret address that closes once the transcript is ready.
- Summary and insights: the AI service (through the panel, monthly limit). Contacts' phone numbers and email addresses are not sent.
Audio files, transcripts and summaries are stored in your installation's database and server and are included in backups.
Limits
- Transcription minutes are per workspace per month (set on the customer card in the panel); when they run out, new recordings are still captured but not transcribed until the next month.
- Summary / insight requests count toward the monthly AI limit. A Call Recording license is enough for call summaries even without the AI module.
- Call recording is not yet available in the mobile app or the REST API (web only).
