List templates
24 ready-made list templates and approval workflows — recruiting, onboarding, leave, expenses, purchasing, discount approval, samples, collections… Template gallery, preview, lists with their own records.
A list groups records for one purpose: stages, list fields, views and, optionally, an approval rule (Table views and lists). A template sets this up for you; you can change everything afterwards.
Template gallery
On the Lists page click New list (or Browse templates):
- On the left: search and use cases — Popular · Sales · Customer success · People (HR) · Approvals · Operations · Finance · Purchasing · Marketing · Press and comms · Content · Investing · Startups.
- Each card shows a small preview of the stages, the record type (Own records, Companies list, People list, Opportunities list), the number of stages and approval / calendar badges.
- Click a card for the preview: Board or Table with sample data, stages, list fields and the approval rule. Rename it if you like; Use this template (
Ctrl+Enter) creates the list with its ready-made views. - Start from scratch opens an empty list (record type, name, colour).

Own records
Templates that keep their own records instead of companies, people or opportunities (a leave request, a candidate, an expense, an asset…) store them only in that list:
- Add one with New record (Request leave on a leave list); if the name is left empty it is built from the list fields (Ayşe Demir · Annual leave · 26.10–30.10).
- Each record has its own page: details, stage, approval history, comments and record info.
- The bulk bar shows Delete instead of Remove from list; these records never appear in the Companies table, import or merge.
- Visibility: with Everyone sees only their own records switched on in list settings, people see their own records, managers see their team's, approvers see what is waiting for them, and admins see everything (on by default for leave and expense templates).
Approval rule
List settings → Approval rules: pick a stage (e.g. Approved) and the approver — the record person's manager, admins, a specific person or a person field in the list. Optionally a waiting stage (Awaiting approval) and a rejection stage (Rejected). Moving a record to that stage sends it to the approver. Details: Approvals and leave.
API and MCP
MCP get_list_entries returns own records too; upsert_list_entries creates or finds a record by record_name on an own-records list. Moving to an approval stage via MCP also goes to approval.
