Notes
Notes on companies, projects, support tickets and contracts — card and list views, favorites, titled and formatted notes, the floating note window, the / menu, @mentions, linking a meeting and note templates.
Notes are a record's lasting information: a call summary, a decision, something to watch out for. Every note belongs to a record (company, project, support ticket or contract) and shows on that record's page and on the Notes page. For questions within the team, use Comments.
The Notes page
Notes in the sidebar (shortcut G then N). The page has two tabs: Notes and Templates.
- Card view (default) and list view — switch with the buttons at the top right; your choice is remembered.
- Favorites sit at the top. Star a note from the corner of its card; with no favorites you see a dashed placeholder.
- Notes are grouped by date: Created today, Created yesterday, Last 7 days, This month, then by month. Click a group heading to collapse it.
- Sort: creation date, last edited or title.
- Filter: All · Written by me · Mentioning me; search looks in titles and text.
- A card shows the record chip (with the company logo), the author, the title, the first lines of the text and the date. A note without a title shows as Untitled note.
- In list view Record is the first column, followed by Note, Author, Created and Edited.
On a company page, All in the Notes card opens this page filtered to that record.
The note window
Open a new note anywhere with N, the Note action in the palette, New note on the Notes page, or New note / the Write a note… bar on a record page. Clicking an existing note opens the same window.
The window floats at the bottom right, so you can keep using the page behind it.
| Button | What it does |
|---|---|
| Minimize | Shrinks the window to a small bar; click the bar to reopen it. |
| Expand | A large window in the middle. While expanded the same button reads Pin to corner. Your choice is remembered. |
Close (Esc) |
Saves the note and closes the window. |
On phones the window opens full screen.
In the window:
- Title — leave it empty and the note is an Untitled note.
Entermoves to the text. - Record chip — the company, project, support ticket or contract the note belongs to. A note opened from a record page is linked to that record; elsewhere you pick a record first. Click the chip to change it.
- Link a meeting — lists recent meetings of the record's company (from the calendar); the linked meeting shows on the note and on the record page.
- Copy link — an address that opens the note directly (
/notes?n=<id>). - ⋯ — Go to record · Add to favorites · Save as template · Delete note.
Notes save as you type; the bottom bar shows Saving… / Saved. A note isn't saved until it has a record (Pick a record to save). Ctrl+Enter (⌘+Enter on Mac) saves and closes.
Formatting: the / menu
Type / in the text (or use the + button at the bottom left): Heading 1 · Heading 2 · Heading 3 · Text · Bulleted list · Numbered list · Quote · Divider, plus Template, Link a meeting and Mention someone. Keep typing after / to filter; pick with the arrow keys and Enter.
Shortcuts at the start of a line work too:
| Type | Result |
|---|---|
# · ## · ### |
Heading 1 · 2 · 3 |
- or * |
Bulleted list |
1. |
Numbered list |
> |
Quote |
**text** |
bold |
Ctrl+B / Ctrl+I make the selection bold / italic. Pasted text arrives as plain text.
@mentions
Type @ to list your teammates; the person you pick gets a notification and sees the note under Mentioning me. Editing the note later doesn't notify the same person again — only newly mentioned people are notified.
Templates
Save note layouts you write often (visit report, meeting summary…) on the Templates tab. The content uses the same formatting: # heading, - bullet, 1. numbered, > quote, **bold**.
- Templates you star come first in an empty note window; one click fills the text and the title.
- Use on a template card opens a new note with that template.
- ⋯ → Save as template in the note window turns your note into a template shared with the team.
- A template with Share with team off is visible only to you. Only its creator or an admin can edit / delete a template.
Who can do what
- Anyone who can see a record can write notes on it and read its notes.
- Only the author or an admin can edit / delete a note; someone else's note opens read-only.
- With team visibility (Security → Record visibility) notes follow the record's visibility.
API and MCP
The REST API and the MCP add_note tool add notes; the text can use the same light formatting (Markdown) — headings, bullets and bold render on the web. Older plain-text notes show as they are.
